Terms & Conditions

1. LANGUAGE
• All abstracts must be written in English
• All presentations will be in English
• Kindly ensure your content is checked for grammatical and spelling errors

2. REGULATION
• The conference is scientific in nature and is overseen by the National Health Regulatory Authority (NHRA) in the Kingdom of Bahrain

3. TOPICS
• All abstracts ideally should conform to the conference theme topics, the list of which is shown below
• If your abstract doesn’t fit into any of the theme topics, please enter your theme topic in the section provided in the form
• Clinically relevant topics of interest must be chosen
• Additionally, please clearly indicate your theme at the top of your abstract submission

4. SUBMISSION PROCESS
• All abstracts must be submitted via the online form
• Email, WhatsApp or other means of submission will not be accepted or reviewed

5. DURATION OF PRESENTATION
• The presentation duration will be 20 minutes
• Any change to the presentation duration will be informed to you well in advance

6. PEER REVIEW
• All abstracts will undergo a peer review process handled by the conference Scientific Committee

7. NOTIFICATION OF ACCEPTANCE
• Should your abstract be chosen to be part of the final conference agenda, an email of confirmation as well as an invitation letter will be sent to you within 4 weeks after the submission deadline following the government regulatory authority approval
• We will do our best to inform you in case your submission does not get approved however occasionally due to time or manpower constraints you may not receive an email from us. In this case it means we were unfortunately unable to include you in the upcoming conference

8. SPEAKER REGISTRATION
• All approved speakers are required to respond via email within one week of the confirmation email
• Failure to do so may result in losing the speaking spot

9. FISCAL RESPONSIBILITY
• Acceptance of an abstract does not include any form of financial support, travel grant, accommodation, logistics support or any monetary compensation
• Speakers are advised not to arrange any travel bookings until receipt of the email of confirmation

10. DISCLOSURE
• All speakers are mandatorily required to disclose as part of their presentation that their presentations are free from any commercial bias and that they do not have any financial interests
• A disclosure form identifying commercial relationships for all co-authors must be completed by the submitting author if their abstract has been accepted for publication

11. PRESENTATION CONTENT
• Every speaker is solely responsible for the content of their presentation
• The Scientific Committee will not be held responsible for any omissions or errors in the content of the presentation

12. COMPLIMENTARY REGISTRATION
• All accepted speakers will receive a complimentary registration pass for attendance of the conference

13. SCHEDULE CHANGES
• Despite our best efforts, there is always a possibility of changes in the schedule of the conference, including but not limited to last-minute time and/or date changes due to unforeseen circumstances
• A specific date or time slot cannot be guaranteed

14. RIGHTS & PERMISSION
• Through the act of submission of your abstract, you grant your permission to distribute your presentation to the audience
• Said submission and consequent approval also grants us the right to take photographs and/or videos of you during your presentation and publish them via any media channel including but not limited to social media and print media for marketing purposes

15. PHOTO
• A headshot with a monochromatic, light colour background is required
• Vertical format is preferred
• In case of horizontal format, please ensure there is enough background to enable cropping into the required format
• Images should be of a good resolution and in .jpg / .jpeg / .png format

17. CME CERTIFICATE
• The CME certificate for the completed speaking session will be issued within 1 week of the end of the conference
